You know that feeling. A prototype board needs connectors by Friday. The BOM says Samtec. The design review approved it. Now procurement is asking for a lead time and you're staring at a 6-week standard lead. Or worse, you assumed a standard header like the TSW series would be in stock, and it's not.
In my role coordinating rush orders for system integrators, I've seen this pattern more times than I can count. A design is finalized, the PCB is ordered, but the connectors—specifically Samtec connectors—were assumed to be "off the shelf." They often are, but not always for the exact configuration you need.
So here's a 5-step checklist I've developed after managing 200+ rush orders for projects ranging from $500 to $15,000, including same-day turnarounds. If you're in a time crunch, run through this list before you call your distributor or Samtec directly. It'll save you a reorder or a last-minute redesign.
Check 1: Is the Part Number Actually a Standard?
This is the most common mistake I see. Engineers grab a part number from a previous design or a comparison list and assume it's a standard, stocked item.
For example, the TSW series (a very common .100" header) has hundreds of variations. TSW-103-07-G-S is a standard. TSW-103-07-G-S-002 is a custom with a specific plating option and may have a 3-week lead time. You'd be surprised how often a seemingly standard part number has a non-standard suffix.
"I once saved $80 by ordering a 'similar' part from a budget vendor. Turned out the pin length was 0.01" shorter. Ended up spending $400 on a rush reorder for the correct Samtec part."
Quick check: Go to Samtec's website and look for the "stock" indicator on the product page. Most standard parts show a stock quantity. If there's no stock indicator, or if it says "contact factory," you're likely looking at a non-stock item. Don't assume.
Check 2: What 'Same Specs' Actually Means Across Vendors
I hear this a lot: "This competitor's connector has the same pitch and pin count, let's use it." Or more commonly, a distributor will offer a replacement. Here's where you need to be careful.
I assumed 'same specifications' meant identical results across vendors after an engineer told me a competitor's part was a direct drop-in. Didn't verify the PCB footprint. Turned out the competitor's part had a different width tolerance—just 0.005".
Samtec often publishes detailed 2D drawings with tolerances. A direct competitor may have a similar product. But what about:
- Mating pin length – Is the wiper position the same?
- Polarization options – Does the plastic body have the same alignment features?
- Plating thickness – 10µ" gold vs. 30µ" gold changes reliability and cost.
If you're in a rush and a vendor says "same thing," ask for the 2D drawing and overlay it on the Samtec drawing. The time you spend verifying is less than the time you'll spend re-spinning a board.
Check 3: Your Lead Time Calculation Includes Buffer
Here's where my emergency specialist instincts kick in. When a distributor quotes 3-day turnaround, that usually means 3 business days from the time the order is processed, not from when you hit "submit."
I once had a client call at 4:00 PM on a Wednesday needing a Samtec ribbon cable assembly for a Friday trade show. Standard quote: 3 days. We paid $250 in rush fees. The order shipped Thursday at 4:00 PM—technically next-day air, but it arrived Friday at 10:30 AM. The booth went up at 11:00 AM. It worked, but there was zero margin for error.
Our company lost a $12,000 contract in 2023 because we tried to save $150 on standard shipping instead of paying for rush. The standard delivery was late by 2 days. The client's contract penalty was $5,000. Net loss: $4,850, plus a burned relationship.
That's when we implemented our '48-hour buffer' policy. If you need it in hand by Friday, your internal deadline is Wednesday. Always add 2 business days to quoted lead times.
Check 4: Know the Rush Fee Math Before You Call
Rush fees vary widely. For Samtec standard products through distribution, expect a 25-50% premium for 24-hour turnaround on stock items. For non-stock items, it can be 100%+ and isn't always possible.
I've worked with distributors who quote $150 for rush processing on a $400 order. Then I've had others quote $400 for the same service. The difference often comes down to whether they have the stock locally or need to pull from Samtec's facility.

Here's what I've learned to ask: "What's NOT included in that price?" Is the rush fee separate from the shipping? Is there a cut fee for the cable assembly? The vendor who lists all fees upfront—even if the total looks higher—usually costs less in the end.
Check 5: Verify the 'Alternative' Before You Approve
This is a subtle one. When you're in a rush, a distributor might suggest an alternative part to meet the timeline. Common alternatives:
- QSH series vs. ERF8 series – Both are high-speed board-to-board. But their stacking heights and bandwidth specs differ.
- Standard termination vs. modified – A standard ERF8 might be available in 48 hours, but the modified version you spec'd is a 2-week build.
If you're asked to approve an alternative mid-rush, do not just say "yes" based on the same datasheet. Ask for the signal integrity data if it's a high-speed link. Same bandwidth rating? Same insertion loss? Not all high-speed connectors are born equal, even within the same brand.
Samtec's ERF8 series is a .8mm pitch rated for 56 Gbps PAM4. A standard 0.8mm pitch competitor may advertise 56 Gbps, but the actual performance depends on the connector geometry and PCB footprint. I've seen designs fail at 28 Gbps because the recommended footprint was different.
Common Traps to Avoid
Before you finalize, watch out for these:
- Stock ≠ availablity. Just because a part is on Samtec's stock list doesn't mean your distributor has it. Always ask for an availability check from their specific warehouse.
- "Same day" cut-off times. If your order isn't in by 12:00 PM EST, it's the next business day. Know the cut-off.
- Fixed quantity minimums. Some rush services have a $500 minimum. A $200 rush order may be charged $300 in fees.
Bottom line: the total cost of a rush order includes the base price, rush fee, shipping, and the cost of a potential mistake. A $400 part that costs $800 to rush but works perfectly is cheaper than a $300 alternative that costs $200 in fees and then fails.
I'd rather pay more up front and be certain. Take it from someone who's been on both sides of that equation.
