Deadline vs. Price: How Samtec HLE Connectors Saved the C300 Launch

I had a red circle around June 4 on my calendar for months. That was the date the pilot run of the Platinum Blood Pressure Monitor C300 had to leave the assembly line. Not 'should leave.' Had to leave. The next open slot at the certified test lab wasn't until mid-September.

Six weeks before the build, the contract manufacturer said the board-to-board connector on the approved BOM was on allocation. A new order had a ten-week lead time. When I asked for a firm delivery date, I got the phrase every buyer hates: 'We'll try.'

'We'll try' is not a delivery date

I remember staring at that email. 'We'll try' doesn't fit into a project schedule. I've spent eight years buying electronic components, and I can tell you the cheapest supplier is not always the least expensive one. It was tempting to stick with the current part because it was already qualified and lower priced. But lower priced doesn't ship.

I've never fully understood why some suppliers treat dates as suggestions. Maybe they don't want to lose the order by saying no. Maybe they genuinely believe they can catch up. Either way, hope isn't a supply chain strategy.

Our design engineer had used Samtec HLE connectors before. The series was mechanically compatible with the display board after a small footprint revision. Instead of waiting for a reseller quote with a vague lead time, I called Samtec directly. A Samtec New Albany team member answered my questions and returned a written delivery commitment. That felt almost too easy.

There was a catch: the HLE connector cost more. It was $0.43 per unit above the incumbent, or about $645 extra on the first 1,500-piece order. My finance lead raised an eyebrow. I opened my cost spreadsheet and added two rows.

One row was the premium: $645. The other row was the conservative cost of missing the June 4 test slot: rebooking fees, expedited testing, delayed launch, lost channel confidence. That number came to $150,000. The comparison didn't take long. Even if that estimate was off by half, waiting still didn't make sense.

Was the higher-priced part worth it? In that context, yes. We weren't buying a connector; we were buying a date. Samtec said they could deliver by May 15, in writing. Not 'probably.' May 15. The purchase order went out the next morning.

Using a multimeter to verify the rail

The Samtec HLE connectors actually showed up on May 10, five days before the written date. That gave us breathing room we didn't think we'd have. Then the first assembled boards came back from the line, and our technician did a quick bench check.

The C300's display board runs on a 3.3 V rail. The HLE connector carries that rail between two PCBs. If the connector pins aren't soldered properly, the rail won't reach the display processor, and the board won't power up. A simple way to check is with a multimeter.

If you've never done it, here is how to use a multimeter to test voltage on a board like this. One caveat before I list the steps: this is for low-voltage DC on a product board, not for mains voltage. The principles are similar, but the safety requirements are different.

  1. Turn the dial to DC voltage. On a standard meter, that is usually V with a straight line above it. Pick a range above the expected voltage; 20V is a safe choice for a 3.3V signal.
  2. Plug the black lead into the COM port and the red lead into the VΩmA port.
  3. Touch the black probe to a ground test point on the board. Touch the red probe to the voltage pin on the Samtec HLE connector.

The technician saw 3.36 V on the display. That told us the pin was making contact and the rail was present. If the meter had shown 0 V, we would have looked for a cold solder joint or a bent pin before moving on.

I want to be careful here. A voltage check is not a full electrical test. It won't measure signal integrity or catch every high-speed issue; that requires lab-grade equipment and someone who actually understands transmission lines. I'm not an electrical engineer. But as a procurement sanity check, it gave us confidence that the connector was assembled correctly and the board could move on to firmware testing.

What the $645 actually bought

In the end, the C300 pilot shipped on time. Samtec HLE is now an approved second source in our system. The original connector stayed on the approved vendor list too, but every future quote now includes a delivery risk row in our comparison spreadsheet.

Some people might read this as me saying Samtec is always worth a premium. That's not my point. My point is that delivery certainty has value, and ignoring it leads to bad procurement decisions.

Oh, and I should add this: Samtec's written delivery commitment mattered, but so did the documentation that came with the parts. For a medical device company working under ISO 13485, traceability documents are part of the total cost too. Samtec New Albany handled that without a follow-up email.

Maybe I'm old-fashioned, but I'd rather pay a small known premium than bet a program on an unknown date. The $645 was real. The risk of being late was a lot more real. If I have one piece of advice for another procurement person, it's this: put a price on the date before you negotiate the unit price. Both matter. Only one of them is usually on the quote.
